The other day I set my schedule book on top of my car while changing my golf shoes then walked inside without my book. For a second, I didn’t know where it was. Terrifying!! I went back and it was still there, but it brings up a great question.
Who of you are using some form of computer or electronic mobil based scheduling? How does it operate with multiple vans? How easy is it to talk to a cusomer while in the filed and take down info. Is there redundency? ie. does your system share info with another terminal or PDA?
❗ Also, I’ve been told that the new invoice/sales reciept books only have perforations for the original and not the copy because there has never been a reason to keep the original and the cusomer should get the better looking copy.
I’ve always kept the original and given the copy to the customer because in the unfortunate event of a dispute over payment or charges, I have a legitimate signature, not a copy that can be manipulated and wouldn’t stand up in court. This is especially important when folks are using credit cards or at a commercial property where an onsite manager approves charges but doesn’t do payables.Every important sales document that I’ve ever had to sign, as far back as I can remember, the original stays with the proprietor and I get the copy for those same reasons.
Are Ammon and I really the only ones keeping the originals? Please let me know. Thanks.

For most of us it’s our working life line. Would love to find some sort of electronic scheduling system but, I would likely forget that in my golf bag. As far as duplicate invoices. I too leave the original and keep the copy (have six years worth boxed in the garage).
Never had a property manager nor customer dispute the charges. Some just write bad checks or, exceed their credit limit. 99% of the time it gets resolved amicably. And, for the most part, the sums are too small to waste time contesting in court. However, your point about keeping the original (with signature is a good valid point). I think, just in case, we should all consider keeping the originals if thats still possible.

September 15, 2006 at 12:08 am #147547CJonesParticipantI, too keep the originals. The reason is the duplicate/carbon copy will deteriorate quickly & soon be impossible to read. Originals with ink will at least hold up for a period of time required by the IRS!

As for the electronic scheduling, The main problem that I’ve seen with the PDA is that it’s difficult to see multiple days at once and navigate the schedule as easy as it is with the good old fashioned book. I haven’t used a new PDA in a while though. I recently found a scheduling program that works with our Quickbooks program called QXpress I think. Anyway, I’mm hoping before too long there will be a program out there that is just as eay to navigate as “the book”.
